Privacy Policy
This policy explains how SMAS | Student and Teacher App collects, uses, and protects information for students, teachers, and administrators who use our app and website.
1. Introduction
SMAS | Student and Teacher App ("SMAS", "we", "us", or "our") is a student management and assessment platform used by schools, teachers, and students to manage classes, attendance, assessments, tasks, and academic records. This Privacy Policy describes how we collect, use, store, and protect information when you use the SMAS Android application or the SMAS website at smasapp.com.
By creating an account or otherwise using SMAS, you agree to the collection and use of information as described in this policy. If you do not agree with this policy, please do not use SMAS.
2. Information We Collect
The specific information we collect depends on whether you use SMAS as a student, a teacher/admin, or a visitor to our website, and includes:
- Account information: username, full name, email address, and (for password-based accounts) a securely hashed password.
- Profile information: profile picture, student ID/course, semester, and school year, where applicable.
- Google Sign-In information: if you sign in with Google, we receive your Google account ID, name, email address, and profile picture from Google (see Section 5).
- Class and enrollment information: the classes, sections, and schedules a student or teacher is associated with.
- Assessments and responses: quiz/assessment content, your answers, and the timing of your attempts.
- Scores and academic records: quiz scores, percentages, gradebook entries, and retake/attempt history stored within SMAS.
- Attendance records: daily attendance status recorded by teachers/admins for each class session.
- Tasks and learning materials: tasks, submissions, and materials shared or submitted within a class.
- App and device information: app version, device model, and Android OS version, used for support and diagnostics.
- Advertising identifiers: the Android Advertising ID and related data collected by Google AdMob (see Section 6).
We do not ask for or knowingly collect government ID numbers, financial account details, or precise location data through SMAS.
3. How We Use Information
We use the information described above to:
- Create, authenticate, and maintain your SMAS account;
- Operate core features such as classes, attendance, assessments, tasks, and gradebooks;
- Let teachers and administrators manage their own students, classes, and records;
- Show relevant in-app notifications about classes, tasks, and messages;
- Maintain and improve app performance, stability, and diagnose technical issues;
- Detect, investigate, and help prevent fraud, abuse, or unauthorized access to accounts; and
- Serve advertising through Google AdMob in the student Home feed, as described in Section 6.
4. Student and Teacher Data
SMAS is built around school-managed accounts. Each student and teacher account belongs to a specific school/administrator ("owner admin") within SMAS, and that administrator - not SMAS itself - is generally responsible for deciding who is enrolled, what data is entered, and who within the school can view it.
- Teachers and school administrators can view the academic records (attendance, scores, tasks, submissions) of students enrolled in their own classes.
- Students can generally view their own records, class content, and messages.
- We do not use student academic data (scores, attendance, assessment responses) for advertising or ad personalization.
If you are a parent or guardian with questions about a specific student's data, please contact your school/teacher directly, or reach out to us at the email in Section 14 and we will do our best to assist or direct your request to the correct school administrator.
5. Google Sign-In / Authentication
SMAS supports signing in with your Google account as an alternative to a username and password. If you choose to sign in with Google, we receive basic profile information from Google - your Google account ID, name, email address, and profile picture - which we use solely to create or authenticate your SMAS account. We do not receive your Google password.
Google's own handling of your account information is governed by the Google Privacy Policy.
6. Advertising and Google AdMob
The SMAS Android app uses Google AdMob (part of the Google Mobile Ads SDK) to show banner ads within the student Home feed. To do this, the Google Mobile Ads SDK and its partners may automatically collect and process:
- The Android Advertising ID and other device/app identifiers;
- General device information (device model, OS version, language, and general/coarse network information);
- Ad interaction data (impressions, clicks, and ad performance metrics); and
- Information used by Google for ad delivery, measurement, and fraud prevention.
This advertising-related data is collected and processed by Google, not by SMAS directly, and is governed by Google's own policies:
We do not pass student academic records, attendance, assessment responses, or grades to AdMob or any advertising partner. Ads are not shown on the admin/teacher side of the app.
7. Third-Party Services
SMAS relies on a small number of third-party service providers to operate:
- Google AdMob / Google Mobile Ads SDK - in-app advertising (Section 6).
- Google Sign-In - optional account authentication (Section 5).
- Firebase Cloud Messaging - delivering push notifications (e.g. new messages, task/assessment updates) to the app.
Each of these providers processes data under its own privacy policy, in addition to this one. We select service providers that are widely used, reputable, and appropriate for an education-focused application.
8. Data Sharing
We do not sell your personal information. We only share information in the following limited circumstances:
- Within your school: with teachers/administrators at the same school for legitimate academic and administrative purposes (Section 4).
- Service providers: with providers who help us operate SMAS (hosting, push notifications, advertising), only as needed to provide their service.
- Legal requirements: if required to comply with a valid legal request, protect the rights or safety of SMAS, our users, or the public, or investigate suspected fraud or abuse.
- With your consent: for any other purpose, only with your explicit permission.
9. Data Security
We take reasonable technical and organizational measures to protect your information, including:
- Encrypting data in transit between the app/website and our servers (HTTPS/TLS);
- Storing passwords using secure, one-way hashing rather than plain text;
- Restricting access to student/teacher data to authorized accounts within each school; and
- Regular maintenance of our server infrastructure and backups.
10. Data Retention
We retain account and academic data for as long as your account remains active with your school, so that classes, attendance, assessments, and records remain available to your teachers/administrators for the duration of enrollment.

Because SMAS accounts belong to individual schools, an administrator may also independently remove students, classes, or records from their own instance of SMAS at any time.
11. User Rights and Data Deletion
You may request access to, correction of, or deletion of your personal information held in SMAS.
- Students and teachers: please first contact your school administrator, who manages your account and can update or remove your data directly within SMAS.
- If you are unable to reach your administrator, or have a question about how your data is handled, email us at benjie.magallano@gmail.com with your username and the school/administrator you're enrolled under, and we will help route or process your request.
- Advertising ID: you can reset or limit ad personalization for your device at any time in your Android device's Settings → Privacy → Ads.
12. Children's / Student Privacy
SMAS is intended to be deployed by schools for their own students and staff, and accounts are created and managed by school administrators/teachers rather than signed up directly by young children. If SMAS is used with students under the age of digital consent in their region, we rely on the school/administrator to have the appropriate parental or institutional consent for that use, consistent with applicable education and privacy laws.
We do not knowingly use student academic data for ad personalization, and ads are shown only in the student Home feed, not embedded within assessments, tasks, or grade records.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in SMAS or applicable law. When we do, we will revise the "Effective Date" at the top of this page. We encourage you to review this page periodically. Continued use of SMAS after a change becomes effective means you accept the updated policy.
